About the role
Reporting to the Operations Manager, Thailand, the Customer Service Officer manages order and credit note processing, ensures accurate system entry of customer orders and returns, and checks stock availability for sales. The role coordinates with Distributors, Sales, and Accounts Receivable to resolve stock, delivery, and credit issues, ensuring timely and accurate order fulfilment and data for invoicing and daily sales. This role also supports sales operations, particularly in sales data management.
Key Accountabilities
• Manage end-to-end order processing, including accurate system entry of customer orders, credit notes, and returns.
• Receive and process customer orders from Sales.
• Monitor and confirm stock availability for sales; coordinate with Distributors and Sales to resolve stock shortages, cancellations, or replacements.
• Follow up on truck capacity and encourage Distributors to maximise delivery efficiency.
• Collaborate with Accounts Receivable and Sales to address customer overdue payments, credit limits, and discount allowances, ensuring timely release of on-hold orders.
• Ensure timely order entry and submission to 3PL to meet daily cut-off times.
• Verify data accuracy prior to invoicing and provide reliable stock availability information for daily sales.
• Support sales operations, particularly in sales data management.
Duties (Sales Operations Support)
• Provide administrative support to the Sales team.
• Assist in maintaining sales-related databases, ensuring all sales activities and customer interactions are accurately logged.
• Coordinate internal communication between the Sales and Supply Chain team to ensure smooth sales-to-delivery process.
• Assist with other ad-hoc administrative and operational tasks as required by the Sales Operations function to support overall business efficiency.
About You
• Diploma or certificate in business supply chain, logistics or related field preferred.
• 2–4+ years’ experience in customer service, order processing, or supply chain operations, preferably in FMCG, foodservice, or logistics environments.
• Proficiency in ERP or order management systems (e.g., SAP, JDE) and strong data entry accuracy.
• Strong communication and interpersonal skills – ability to coordinate with multiple stakeholders (Sales, Distributors, Accounts Receivable) to resolve issues and ensure timely order fulfilment.
• Attention to detail and commitment to data accuracy.
• Ability to manage competing priorities and meet tight deadlines.
• Problem-solving skills and the ability to escalate issues appropriately.
• Team player with a proactive and collaborative mindset.
